SSA Group are seeking a highly organised and detail-oriented professional to manage key administrative and operational tasks on behalf of a leading construction group in Dublin. This role involves maintaining accurate records, facilitating smooth communication, and ensuring efficient site operations. The ideal candidate will have experience with document control, system administration, and supporting day-to-day site activities.

- Strong organisational skills. Ability to manage and maintain records, documents, and schedules accurately, ensuring smooth daily site operations.
- Proficiency in Microsoft Office (Excel, Word, etc.) and basic knowledge of construction management software (e.g., Procore or similar) is beneficial, but not essential.
- Strong verbal and written communication skills to liaise effectively with site teams, contractors, and clients, and the ability to work collaboratively within a team.
- A positive, can-do attitude.
Your responsibilities will include, but not be limited to: - Maintain and update key site records, including drawings, training certificates, registers, and other essential documents, ensuring they are organised and accessible in multiple systems.
- Prepare and submit progress reports, meeting minutes, and relevant client updates.
- Oversee the ordering of office supplies, PPE, consumables, and furniture. Track inventory and maintain safety equipment and signage to ensure compliance.
- Track plant and machinery usage, update plant hire records, and monitor costs, ensuring accurate documentation of off-hire dates and addressing discrepancies with the Plant department.
- Organise site inductions for workers, resolve access issues, and maintain accurate training records.
- Provide day-to-day administrative support, including booking meeting rooms, coordinating deliveries, managing visitor access, and overseeing parking arrangements for staff and contractors.
- Ensure accurate tracking of waste materials, monitor environmental reports (dust, emissions), and upload documentation to systems.
- Handle the uploading and submission of client-required documents, including project progress photos, reports, and other necessary documentation.
- Capture, collate, and distribute key information to the site team, ensuring smooth communication and proper documentation flow between all parties.
- Provide administrative assistance with scheduling, organising team events, maintaining office stationery, and offering general support to ensure efficient site operations.
